In accordance with Articles 13, 14 and 21 of the General Data Protection Regulation (GDPR), we inform you below about the processing of the data you provide during the application and allocation process and your related rights. Please read this information to ensure that you are fully informed about the processing of your personal data during the application process.

3. Purposes and legal bases of processing

We process your personal data in accordance with the European General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG), insofar as this is necessary to decide on the allocation of a Free Mensa Meal Voucher. The legal basis is Article 6(1)(a) GDPR.

You thereby give us your express consent to process personal data for specific purposes. Consent may be withdrawn at any time with effect for the future (see section 8 of this data protection information).

We may also process your personal data where necessary to comply with legal obligations (Article 6(1)(c) GDPR) or to defend against legal claims asserted against us. The legal basis for the latter is Article 6(1)(f) GDPR. A legitimate interest may, for example, be an obligation to provide evidence in proceedings under the German General Equal Treatment Act (AGG).

4. Categories of personal data

We process only data related to your application. This may include general personal information (basic data such as your name, degree programme and contact details). Studentenwerk Hannover requires this data to issue the meal voucher card and contact you. This data is transmitted to Studentenwerk Hannover (Lodyweg 1c, 30167 Hannover).

In addition to basic data, we inform Studentenwerk Hannover whether you receive income from voluntary activities (for example, committee work). The information about why you need help, whether you hold German citizenship and whether your income is below the maximum BAföG threshold allows us to assess your need for support and its urgency as part of your application for a meal voucher. We transmit this information to Studentenwerk Hannover so that it can understand our assessment of your need for support and initiate the allocation process.

Questions about your personal, family or financial circumstances concern the urgency of your need for support. Whether you have previously received a meal voucher is relevant to a further allocation, as vouchers can only be allocated every two semesters.

If you provide bank statements (voluntarily), you have the right to redact individual entries, provided the date and amount remain visible. Bank statements are reviewed to assess your need for support based on the funds available to you each month.

5. Sources of data

We process personal data received from you when you contact us or submit your application.

6. Recipients of data

Within our public body, we disclose your personal data only to people involved in the meal voucher allocation process. The application process generally involves staff from the political affairs area who have received appropriate data protection instruction, as well as the data protection officer of the constituted student body of Hochschule Hannover.

Studentenwerk Hannover requires your data to issue the meal voucher card and contact you. This data is transmitted to Studentenwerk Hannover (Lodyweg 1c, 30167 Hannover).

Otherwise, data is disclosed to recipients outside the organisation only where permitted or required by law, where necessary to comply with legal obligations, or with your consent.

7. Data retention period

We retain your personal data for as long as necessary to decide on your application. Your personal data and application documents will be deleted no later than six months after the application procedure ends (for example, after notification of a rejection), unless a longer retention period is legally required or permitted.

Beyond this, we retain your personal data only where required by law or, in a specific case, where necessary to establish, exercise or defend legal claims for the duration of legal proceedings.

8. Your rights

Every data subject has the right of access under Article 15 GDPR, the right to rectification under Article 16 GDPR, the right to erasure under Article 17 GDPR, the right to restriction of processing under Article 18 GDPR and the right to data portability under Article 20 GDPR.

You also have the right to lodge a complaint with a data protection supervisory authority under Article 77 GDPR if you believe that your personal data is being processed unlawfully. This right exists without prejudice to any other administrative or judicial remedy.

Where processing is based on your consent, Article 7 GDPR entitles you to withdraw your consent to the use of your personal data at any time. Please address your withdrawal to our data protection officer (see section 2 for contact details).

Please note that withdrawal takes effect only for the future. Processing carried out before withdrawal is not affected. We may also have to retain certain data for a specified period to comply with legal requirements (see section 7).

9. Requirement to provide personal data

Providing personal data during application processes is neither a statutory nor a contractual requirement. You are therefore not obliged to provide personal data. However, we may need this data to decide on your application for a Free Mensa Meal Voucher.

If personal data is not made available to us, we may be unable to reach a decision. We recommend that you provide only the personal data necessary to process your application.
